Keeping The Vine beautiful is a team effort. "Together in Maintenance" is our shared pledge to proactively protect and preserve our community. Through the Association's care of the common elements and each homeowner's dedication to their own property's exterior, we work hand-in-hand to ensure The Vine remains a premier place to call home.
To help you navigate your responsibilities, we’ve put together the comprehensive guide below. Here you will find the official maintenance chart, approved paint colors, repair standards, and vendor resources to make your exterior projects a success.
Who Maintains What?
In most cases—even when maintenance falls under the Owner’s responsibility—architectural approval may still be required. To confirm whether approval is needed, either:
- Submit an ARC Packet through the Owner Portal (Note: WRMC applies an automatic $25 processing fee), or
- Use General Request → Homeowner General Question to ask if ARC submission is necessary.
If you believe your maintenance issue is the Association’s responsibility, please submit a General Request → Work Order via the Owner Portal for review and follow-up.
Below is a guide based on the official Maintenance Responsibility Chart recorded in July 2024.
Please Note: Should there be a discrepancy between this summary and the official Maintenance Responsibility Chart, the official Chart is the correct one.
Owner Responsibility
- Windows: All aspects, including window boxes.
- Doors: Exterior front doors and garage doors.
- Trim: Trim work outside the garage door (including painting).
- Front Porch: Door frame, trim, ceiling finishing, and lights.
- Fixtures: Shutters, awnings, balconies, and patios serving a single unit.
Association Responsibility
- Perimeter: Fences around property, access gates.
- Streets: Interior streets, streetlights, and sidewalks.
- Foundation: Building foundations and patio slabs.
Owner Responsibility
- Roof Materials: Physical part above structural decking (insulation, membrane, flashing).
- Roof Decks: Railings, wallboard, Trex decking, and surfaces.
- Gutters: Those serving a single unit.
Association Responsibility
- Structure: Structural roof decking and systems.
- Parapets: Parapet caps and structural components.
- Gutters: Those serving multiple units.
Owner Responsibility
- Interiors: Sheetrock (walls/ceilings), paint, flooring, and wall treatments.
- Utilities: Lines/systems within unit or serving only that unit.
Association Responsibility
- Utilities: Lines outside exterior building walls.
- Shared Systems: Chutes, flues, or ducts serving more than one unit.
Owner Responsibility
- Pests: Within unit boundaries and exclusive Limited Common Elements (e.g., rooftop deck).
Association Responsibility
- Landscaping: Areas designated as Limited Common Elements and common area drains.
- Pests: General Common Elements, Yard areas, and pests impacting structural elements.
Maintenance Standards & Repair Guide
This guide defines the community standards for common exterior repairs. Whether you are proactively maintaining your home or addressing a specific maintenance notice, please follow the required methods below to ensure compliance with our aesthetic rules. All repairs must conform to the approved materials and color schemes.
1. Garage Components
A. Garage Panels (Door)
- Fading/Peeling Paint: Clean, scrape loose paint, and apply at least one full coat of the approved exterior paint (Sherwin Williams SW 7633 Taupe Tone).
- Dents or Gouges: You may attempt to fill dents with automotive body filler, but it must be meticulously textured to match the surrounding panel. Visible smooth patches or sloppy filler will not be approved.
- Bowed/Protruding Panels: Because the community uses insulated doors, a panel bowing outward often indicates internal delamination (the layers of the door have separated). Internal strut reinforcements often cannot fix this issue on insulated doors. If a strut cannot make the panel completely flush, the panel (or full door) must be replaced. ARC Approval is required for full door replacements.
- Important Painting Note: If you replace or repair a single panel, you will likely need to repaint the ENTIRE door. New paint rarely matches sun-faded paint on surrounding panels. Striped or mismatched doors will not be approved.
B. Garage Frame & Weatherstripping
- Wood Rot: Cut out rotted wood and replace with new wood (Dutchman patch) or composite material. Filling deep rot with putty is prohibited. Prime and repaint the entire frame to ensure a color match.
- Weatherstripping: Remove old seals and install new vinyl/rubber weatherstripping. The rigid vinyl mounting strip must be painted to match the door frame/trim color.
C. Garage Lintel
- Rust/Corrosion: Wire-brush or sand rust down to bare metal. Apply a rust-inhibitive primer, then repaint the entire lintel with the approved exterior paint.
2. Front Porch & Facade
A. Siding
- Cracked or Loose Boards: Re-secure loose boards. If cracked, replace the board entirely. Apply at least one full coat of approved exterior paint.
B. Porch Lintel
- Rusting Steel Beams: Treat similarly to garage lintels. Wire-brush to bare metal, apply rust-inhibitive primer, and repaint entirely.
3. Front Entry Doors & Frames
A. Wood Front Doors
All residents are permitted to attempt restoration before replacement, provided the final result meets community standards.
- Surface Fading (Refinish): If the clear coat is flaking or wood is graying, sand the door down to raw wood. Apply the approved gel stain followed by a marine-grade exterior varnish. Do not varnish over peeling finish.
- Physical Damage (Restore): If there are visible cracks or surface dents, fill them with high-quality wood epoxy or stainable filler. Sand flush so repairs are invisible, then proceed with the refinishing process.
- Severe Damage (Replace): If the door has deep rot, warping, or large splits, you may attempt restoration using professional carpentry methods. However, if the repair remains visible or warped, the door must be replaced with a new wood door matching community specs. ARC Approval is required.
4. Balconies & Railings
A. Metal Railings (3rd Floor Juliette or 2nd Floor Deck)
- Rust Repair: Wire-brush or sand to bare metal. Apply a rust-inhibitor, then topcoat with the approved black protective enamel. Painting directly over rust is strictly prohibited. Repaint the entire railing to keep the color consistent.
B. Balcony Components (Flashing, Lintels, Siding, Doors)
- Flashing & Lintels: Treat rust, prime, and paint with the approved exterior paint color.
- Siding & Doors: Secure or replace loose hardy board. Repaint siding and doors entirely to match the approved exterior colors.
Frequently Asked Questions
Do I have to hire a professional?
You are not required to hire a professional, provided the work meets the standards above. However, poor workmanship (e.g., visible patches, mismatched colors) will need to be redone.
Where can I find the exact paint and stain colors?
The approved product list is located in the Official Exterior Paint & Stain Scheme chart on this page. You are not required to use the specific brand listed, but the color must be an exact match to the approved color.
